Project Overview

The Challenge

VHC Actifood’s sales team was spending hours every day manually processing incoming leads from multiple sources — website forms, email enquiries, and social media messages. Each lead had to be reviewed, scored, entered into their CRM, and then followed up individually. Promising leads were getting delayed responses, cold leads were wasting sales time, and opportunities were slipping through the cracks entirely due to human error and workload.

The Solution

We built a fully automated lead pipeline in n8n that captures submissions from all incoming channels simultaneously. Each new lead is instantly passed to Claude AI, which analyses the message content, company context, and intent signals to assign a qualification score and category. Based on that score, the workflow routes the lead automatically — high-intent leads trigger an immediate personalised email response and a Slack notification to the sales team, while lower-scoring leads are added to a nurture sequence.

All lead data — including the AI score, category, source, and full message — is logged in real time to both Supabase and a shared Google Sheet, giving the team a live dashboard of their pipeline without touching a single thing manually.

The Results

The workflow went live and immediately removed over 80% of the manual work from the sales process. High-intent leads now receive a personalised response within seconds of submitting — compared to hours before. The team no longer spends time on data entry, and their pipeline visibility improved dramatically. VHC Actifood reported a measurable increase in lead conversion rate within the first month, attributed to faster response times and better prioritisation of hot leads.
